These Terms and Conditions of service are copyright to MAILBOX GROUP LIMITED
Unless otherwise agreed by MAILBOX GROUP LIMITED in writing, these conditions shall be construed in accordance with English law and are in addition to your statutory rights.
General
In these terms and conditions of business, “the Company” and “provider” shall mean MAILBOX GROUP LIMITED and “the customer” and “subscriber” shall mean any Company, firm, organisation or private individual trading with the Company.
Agreement An Agreement shall continue from period start to period end, unless the subscriber has failed to pay any advance fees due in which case the service will be terminated and any balance of funds retained by the Provider. An Agreement may be cancelled at any time after the expiry date by either party provided 30 days’ notice is given.
Service Provision
The Company will take all reasonable steps to ensure accurate and efficient dealing with all communications received for the customer and that mail is handled in accordance with the customer’s instructions on the application form. However, no warranty or liability is accepted by the Company, its staff or agents in relation to services provided, nor for losses or damages to the customer nor money, valuables or loss of business, however so caused.
London Mailbox Service
The Company will provide the Customer with a mailbox address at the Premises for which the Customer will pay a Registration Fee.
The Customer may use the Mailbox Service address provided by the Company as the Registered Address at Companies House, provided that the Customer complies with Companies House requirements and pays an annual Registered Company Address Fee plus the mailbox service fee.
Where 24-hour access is available at the Premises and requested by the Customer, the company will provide the Customer with door entry access for which the Customer will pay a 24 Hour Access Fee.
The Company will receive on the Customer’s behalf items of Special, registered or recorded delivery mail provided that, if the Customer refuses to accept any such item, the Customer will pay any costs or fees associated with its refusal or return.
The subscriber agrees not to circumvent, interfere with, tamper with or re-direct any mail whatsoever which contains the address Henry House, 275 New North Road London N1 7AA or any part thereof. Failure to comply with this condition will automatically constitute grounds for immediate termination of all or any services provided to them by the Provider. In emergencies the Provider will attempt to locate the subscriber to pass on messages and the costs incurred in so doing will be charged to the subscriber.
Arrangements made for routine posting or faxing of messages and/or mail is done so entirely at the risk of the subscriber and the Provider will accept no liability whatsoever due to non-delivery of the messages and /or mail.
Mail and/or deliveries are taken in entirely at the risk of the subscriber and the Provider will accept no liability or responsibility whatsoever for any losses, shortages or damages howsoever caused.
Any parcels/packages not collected from the mailbox after 7 days from the date of arrival at the mailbox, will attract a surcharge of 50p day storage fee until collected. This will need to be paid on collection of parcel, failing which the provider has the right to refuse to hand over the parcel until monies owed are paid.
The subscriber undertakes to notify the Provider in writing of any change of address or contact details. The subscriber is entitled to print the mailing address and/or telephone number on all stationery only during the currency of the agreement.
The subscriber agrees that it will not use the service for any illegal or illegitimate purposes, and that such uses will constitute grounds for immediate termination of services by the Provider and agrees to provide the Provider with an acceptable form of ID under any current or future Money Laundering Regulations.
The Provider will make every reasonable effort to ensure accurate and expeditious handling of mail and/or messages, but no responsibility shall attach to MAILBOX GROUP LIMITED or its employees, agents or officers for any damages, injuries or loss howsoever arising or to whomsoever caused.

The Customer agrees that when an existing mailbox is renewed it is renewed from the expiry date and not the date of renewal.
On expiry the customer agrees to renew by the date given by the provider, failure to do so will result in a reconnection fee.
The provider has the right to retain post until the mailbox is renewed. Should the customer chose not to renew the service all mail in mailbox will be returned to sender.
Registered Office Address
The subscriber understands and agrees to any mail other than statutory mail from HMRC and Companies House will be returned to sender unless the subscriber has also purchased a London Office Address service and is current and active, if expired mail will also be returned to sender.
Directors Service Address
The subscriber understands and agrees that the Directors Service address is not a post receiving service, and is only used for updating the director’s details at Companies House.
Cancellation
In the event of cancellation by the subscriber prior to the expiry date of the contract MAILBOX GROUP LIMITED will be entitled to charge a handling fee pro rata in accordance with the initial work done, or length of time remaining and this will be charged at the monthly rate irrespective of the length of time of the original contract, in addition an early cancellation fee will be charged at the discretion of the Provider, for Telephone answering this will include a minimum fee of £45.00, for Voicemail this will include a minimum fee of £45.00 and for Mail Boxes this will include a minimum fee of £45.00 plus any London Borough of Islington charges that may be incurred in the cancellation of any service and notification required under sec.75 of the LLA Act 2007.
Right to Cancel
The Company reserves the unconditional right, at its sole discretion, to cancel this Agreement for any reason at any time. This right extends to all terms and conditions of this Agreement and may be executed without notice.
Execution of Cancellation
In the event that The Company decides to exercise its right to cancel under this clause, The Company may do so by providing written notice to the other party. The cancellation will take effect immediately upon delivery of the notice unless otherwise specified in the notice.
Consequences of Cancellation
Upon cancellation of this Agreement by The Company under this clause, all rights, obligations, and responsibilities of both parties under this Agreement shall immediately cease, except for any rights, obligations, and responsibilities that are intended by their nature to survive cancellation (including, without limitation, payment obligations, confidentiality obligations, and liability limitations).
No Liability
The Company will not be liable to the other party or any third party for any damage, loss, cost, expense, or liability of any kind incurred as a result of or in connection with the cancellation of this Agreement under this clause, except as otherwise expressly provided in this Agreement or as required by applicable law.
Provision of up-to-date contact information
The customer hereby confirms that the information provided in this Agreement is accurate at the time of signing the Agreement and any change(s) of customer’s personal details or business details will be notified to the Company immediately. The company reserves the right to suspend or terminate a customer’s service if we are unable to contact them appropriately.
Indemnifies
The customer will fully indemnify the Company against all liabilities, expenses, losses, claims, damages or penalties incurred by the Company is respect of this Agreement and due to the way in which the business services are however occasioned including through defamation, suing or being sued as a result of the breach whatsoever and howsoever committed by the customer or any third parties. The Company, its staff or agents will have no liability to any third party.
Identification, Confidentiality and Privacy
MAILBOX GROUP LIMITED will never disclose any personal details to third parties. However the customer agrees MAILBOX GROUP LIMITED will use its discretion if we are legally obligated at a request from a legal body.
MAILBOX GROUP LIMITED requires under the money laundering act 2 forms of personal identification. The customer agrees to provide 1 photo identification and 1 proof of address. In the event that the Customer fails to provide such documents, MAILBOX GROUP LIMITED reserve the right to cancel the contract without refund of monies paid.
The Customer agrees verification of ID by The Company on first collection of mail or parcel or mail forward request.
The Customer agrees where The Customer has more than one name on the Mailbox Service, Identification and proof of address is required for every name on the mailbox.
The Customer agrees that when a Ltd Company is being used for the Mailbox Service, ID and Proof of Address is required for every director of the Ltd Company regardless if they are using the Mailbox Service or not.
